Workplace Equipment

ITS provides New York State employees with equipment based on job function. ITS specialists deploy equipment and provide support services.

Standard Employee Package

Workplace Equipment - Standard equipment includes either a computer with a tower, a laptop computer, or a virtual desktop (VDI)

Printing - ITS offers standard printers or multi-functional printer/copier/scanners. All printer options are available in black & white or color.

PrinterLogic - PrinterLogic eliminates the need for print servers, replacing multiple hardware servers with a single, cloud-based printer management system. PrinterLogic minimizes the need for helping by allowing users to find and add printers themselves, rather than waiting for an administrator.

In addition to the standard offerings, add-ons are available as necessary:

Mobile Devices - Fully capable smart phones and iPad tablets are available.

Additional, Duplicate, or Specialized Equipment - Agencies have the option of additional standard monitors, laptops, or other equipment.

Microsoft Office/O365 

ITS partners have access to the latest version of the Microsoft Office suite for business. Applications include Access, Excel, OneNote, Outlook, Powerpoint, Publisher, Word, Skype for Business, and OneDrive for Business. Office 365, MS Office's web-based counterpart, is included in the subscription and features cloud-run versions of many MS Office applications as well as SharePoint, Delve, and video hosting capabilities.

Webex 

Webex allows users to virtually meet with other people without leaving the office or home. Users can meet via online video service or audio conference. MeetNY allows users to collaborate on documents online, record meetings for future reference, and includes chat and video services.

Virtual Private Network (VPN)

A VPN (Virtual Private Network) will allow secure access for employees working remotely.  

Client Virtual Private Network (VPN) is an application that creates a secure connection from your state-issued device to the NYS network. More information and connection instructions are available:

SSL VPN allows secure access for employees working remotely using a personal device. This option is only available to certain agencies.  Connection instructions and a list of agencies currently that have access are available:

Virtual Desktop Infrastructure (VDI)

Virtual desktop infrastructure (VDI) is the practice of running a user's desktop inside a virtual machine that lives on a server in a datacenter. All profile settings, installed applications, and the operating system are stored and managed centrally.

eFax

eFax is ITS’ enterprise fax system that allows clients to send and receive faxes through email. These faxes are sent and received using Microsoft Outlook and can be sent to both shared mailboxes and individual mailboxes. 

Sending an eFax

To use eFax, you will need to be running Office 365 and Outlook email.

  1. Open a new Outlook email document from your NYS-issued PC (or VDI) using Office 365.
  2. Create your secure eFax by entering content in the body of your email. Be sure to add any necessary attachments.
  3. Address the email to the receiving fax machine's 10-digit fax number, including the area code (i.e.: (FAX)[email protected]).
  4. To send the same fax to multiple addresses, simply separate each 10-digit fax number email address with a semicolon as shown: [email protected][email protected].
  5. Once your email content is complete and addressed to the receiving fax number(s), click Send.

What is eFax?

eFax is an Internet fax capability that makes it easy and convenient to send and receive faxes by email and online using your desktop computer running Office 365 and Outlook.

Is eFax Secure?

Your eFaxes are protected by CISO-approved encryption, so you can be confident in the level of security they will have. This encryption also means that your eFaxes are compliant with the Health Insurance Portability and Accountability Act of 1996 (HIPAA).
